Turn invoices into Excel tables

Get the line items off a PDF invoice and into a clean spreadsheet, each field in its own column and every amount stored as a number. Drop in several invoices and they become one table.

How it works

How to convert an invoice to Excel

  1. 1

    Drop in the PDFs

Open the tool with a free account and drop in one invoice or a batch. PDFs made by billing software usually have a text layer: no OCR, and reading is free.

  2. 2

    Keep the line items

Each invoice is split into its tables: details, line items, tax and total. Keep the line items and remove the rest with ×.

  3. 3

    Convert and tidy up

Type what you need, such as “add a total row”. Each change is previewed first and applied when you click Apply.

  4. 4

    Download the .xlsx

The header row is frozen, filters are on and totals are SUBTOTAL formulas. Downloading is free.

Real example

A supplier invoice, from PDF to Excel

We ran a one-page supplier invoice through Nexell's server engine. The company names are made up; the table, commands and formulas are the engine's real output.

1In the PDF

2In Nexell

  1. PDF read without OCR. Three tables were listed: invoice details, line items (with the Subtotal line), and tax with total. We kept the line items: 5 columns, 5 rows.
  2. delete rows where Item is emptyRemoved rows where Item is empty (1 row removed)
  3. add a total rowTotal row added — uses SUBTOTAL in Excel, so it updates when filtered · 3 numeric columns

Each command came back as a preview first and changed the table only after Apply.

DataChart

Unit Price and Amount keep their dollar format; Qty is a number. The total matches the invoice Subtotal of $1,329.15. The Chart sheet sums Amount per item code with SUMIF and a column chart. Cost: 3 credits (conversion plus two commands).

Why Nexell

What Nexell does differently

Line items, not a page dump

The line-item table comes out on its own, apart from the letterhead and the totals box.

Numbers stay numbers

$64.50 becomes a numeric cell with a dollar format, ready to add up and filter.

A batch becomes one table

Line items from several invoices land in one table, with a Source column naming each row's file.

Formulas you can keep using

Totals are SUBTOTAL and calculated columns are normal formulas. Change a quantity in Excel and the totals follow.

Preview before anything changes

Every edit you type is previewed and applied only when you approve it. Each step can be undone.

Your invoices are not kept

Files stay in our server's memory only while they are processed: no disk, no database, no outside service.

Limits

What to know before you start

  • Invoice details stay out of the rows. Invoice number, date and vendor arrive in a separate table; the Source column holds only the file name.
  • Some layouts lose the header row. On a plain four-column invoice (Description, Qty, Unit Price, Amount) we saw the header missed and the columns jumbled. Check the first row.
  • Check US-style dates. Month-first dates such as 09/14/2026 are not recognized reliably yet: some stay text, and 09/02/2026 can be read as 9 February.
  • Receipts are not reliable yet. The one-row-per-receipt summary is built for Turkish receipts; on US receipts column names come out in Turkish and dates can be misread.
  • English and Turkish only. OCR reads only these two languages, and requests are understood only in them.
  • Size limits: Free plan tables up to 5,000 rows and files up to 10 MB (paid plans 50-100 MB). Password-protected PDFs cannot be opened.

FAQ

Invoice to Excel: common questions

Is converting an invoice to Excel free?

The Free plan gives you 30 credits a month, no card needed. Reading a text-layer PDF and downloading are free; the conversion and each command use 1 credit per 10,000 rows. The example above used 3 credits.

Can I combine several invoices into one spreadsheet?

Yes. Drop the PDFs in together and keep their line-item tables. Tables with the same column names merge, and a Source column shows each row's file.

Does it work with scanned invoices?

Yes, on every plan. Scanned pages and photos are read on our own server with English and Turkish OCR. Each page uses 1 credit, returned if no text comes out.

Can I convert receipts to Excel?

Not reliably yet for US receipts. OCR reads the text, but the receipt summary (date, store, tax, total) is tuned for Turkish receipts, so check every cell. For invoices, use the PDF.

Are my invoices stored?

No. Files are kept in memory only while they are processed. The server keeps just the credit record: job type, rows and pages.
